JOB SUMMARY: This position will primarily be responsible for the planning / organization of various networking events and regular communication with members and supports.

Responsibilities:

· Working closely with the Director of Programs, Administrative Coordinator and other members of the FBCYICN team, the Events & Communications Coordinator (ECC) is responsible for the planning / organization of various Networking events (including Holiday events, Steering Committee Meetings, consultations, workshops, and other special events). The ECC is also responsible for regular updates to members and supports, keeping the online calendar of events up-to-date, and for contributing relevant submissions to Power Pages, the provincial newsletter of the FBCYICN.

· Must have a minimum of one (1) year relevant work experience in the area of event coordination.

· Must have strong understanding of the needs / issues facing young people in and from care in B.C. (eg. foster / group home care, youth custody centres, residential mental health facilities and those in Kith and Kin placements or Youth Agreements).

· Must have excellent oral, written and interpersonal communication skills and be able to work effectively both as a member of a team and independently.

· Must have excellent prioritization and time management skills as well as strong personal / professional boundaries.

History

This Vancouver fireworks festival began in 1990 and operated for 10 years as the Benson & Hedges Symphony of Fire until tobacco-advertising restrictions were legislated by the Canadian federal government. With the changes in tax laws in 2000, the event required new sponsorship to continue. In 2001, the Vancouver Fireworks Festival Society (VFFS), a not-for-profit organization, was created with the support of the City of Vancouver to source sponsorship and produce future fireworks festivals. For the past 8 years HSBC Bank of Canada has held the title sponsorship, and the festival has been produced under the event name: HSBC Celebration of Light.

Brief Event Overview

International fireworks pyro-technicians/designers are invited to compete for the HSBC Celebration of Light Trophy; considered the most prestigious fireworks competition in the world. Three countries compete by producing a 25-minute pyromusical show over English Bay. Competitors are judged by a seven judging. Judging criteria include: general concept, colour, originality, production quality, music, and synchronicity. In 2008 Canada, USA and China competed and Canada was the official 2008 winner.

Fireworks spectators could listen to the music via simulcast on Rock 101 FM radio (radio station sponsor).

It is estimated that over 1.5 million spectators view the HSBC Celebration of Light over the four nights of the event. HSBC Celebration of Light is one of the most renowned international fireworks competitions in the world and Vancouver’s signature summer event. It is the largest free event produced in Greater Vancouver. It has been coined a free, family, fun event, and is the only ‘Civic’ event endorsed by the City of Vancouver. The 2008 fireworks competition was held on July 23, July 26, July30 and August 2. The estimated economic impact for the City of Vancouver is over $64 million annually.

General Job Description:

Responsible for all aspects of the management of the HSBC Celebration of Light including partner/sponsor acquisition and fulfillment, maintenance of day to day operations, corporate hospitality, merchandising, marketing, public relations, volunteer management, program implementation, budgeting, managing timelines and measuring results.

Work Performed

1. Operations:

· ensure the successful execution of the Event, including developing relationships with the many organizations (primary liaison with all operational partners) that are involved and ensuring that everyone understands their role and responsibilities during the four nights of the Event

· report to the Managing Director and the board on a timely basis with all relevant information regarding the organization’s operations

· maintain and present to the Managing Director a monthly budget providing a run down of all revenues and expenses

· work closely with the Marketing/Operations Coordinator to ensure operations run efficiently and effectively.

2. Advertising:

· develop a comprehensive strategic marketing plan for the event and ensure, after board endorsement, the implementation of all marketing programs for the Event

· Deal directly with media sponsors to develop the media plan and media buying, i.e. radio, newspaper, TV and Outdoor advertising

· Work with design agency on advertising design and implementation

· Work within designated budget for each campaign

· Coordinate and work with event marketing committee

· Develop HSBC Celebration of Light brand building activities, which lead to growth of the HSBC Celebration of Light, as well as exposure for Sponsors.

· Ensure the website is updated regularly.

3. Sponsorships:

· Raise revenue for the Event by facilitating key relationships within the external community, including associations, alliances and sponsors

· Create sponsorship strategies and packages in order to attract new sponsors

· Work with sponsors to ensure all sponsorship requirements are met

· Coordinate and manage sponsor involvement prior to and during the four nights of the Event

· Create post-event sponsorship packages

· Ensure that all sponsorship commitments are met based on sponsorship contracts and deliverables.

4. Public Relations:

· Develop Event PR plan that when implemented will ensure all media are aware of the event dates, competing countries, time, location, sponsor involvement and any other pertinent information

· Conduct media relations activities leading up to, during and following the Event, including interviews with the media as required

· Coordinate all external communications about the event and on-going activities

· Respond to media inquiries about event

· Create media releases and press packages

· Conduct media conferences if needed, and barge tours

· Handle on-site media over the four nights of the event, i.e. media inquiries, interviews, media vehicle parking, and camera crew set-up.

5. Volunteer Recruitment and Coordination:

· responsible for identifying where volunteers are needed and securing and managing the volunteers during the four nights of the event.

Qualifications & Skills

Education:

· Degree in Marketing Communications or related field

Experience:

· Minimum of ten years of marketing and event management experience

Skills:

· Marketing communications, sponsorship acquisition and fulfillment, event management, and public relation skills

· Effective leadership and interpersonal skills

· Excellent oral and written skills.

· Results-oriented, self-starter, motivated, effective prioritizing, planning and organized

· Effective analytical skills
