General Description:

AFABC is seeking a full time Event Planner Responsible for fundraising activities generated through Special Events. The position is both proactive and responsive and it includes the management, implementation and planning of large signature fundraising event operations and logistics as well as liaison with staff and volunteers.

Responsibilities:

As a key member of the Fundraising Team, the Event Planner will solicit and manage event revenue generating activities including sponsorship, raffle, auction, ticket sales, on-line donations - as well as event operations including event logistics, promotion, supplier relations, committee liaison, volunteer recruitment and management. Other key tasks include prospecting, event strategizing, donor stewardship, report management and budget control. There are several large multi-dimensional events including JAZZ in the Park and Wine on the Mountain.

Additional responsibilities may include assisting with fund developments long term and short term fundraising goals.

Skill and Knowledge Requirements:

Experience/Educational Requirements:

Sales, Marketing, Fundraising and/or Event Management diploma with 2 years experience and/or 4 years of experience in the Event Management field,

Experience in the non-profit or child welfare fields and membership-based organizations,

Experience working with volunteers and volunteer committees/boards in a wide range of capacities ,

Experience soliciting and building relationships with sponsors,

A vehicle and valid BC Drivers license are required for this position.

Our office consists of 2 Show Coordinators/Conference and Event Coordinator along with the Show Manager/Conference Manager. We all work together on projects.

The major project we plan is the Education & Career Fairs www.educationcareerfairs.com. These are five tradeshows that take place in BC that attract 100 – 180 exhibitors at each Fair and 3000-5000 participants per Fair. We work on this event throughout the whole year. These are the Largest Career Planning Events in BC.

Job Description – Show Coordinator / Conference and Event Coordinator

Education & Career Fairs

§ Exhibitor Coordination - Exhibit Follow Up (This takes 50% of each Coordinators time from April to June and then 10 to 25% of each Coordinators time for the rest of the months of the year.)

o Calling past and potential exhibitors to ensure they have received new promotional brochure.

o Researching new exhibitors through newspapers, attending other events, website searches

o Booking exhibitors into each Fair and assign booth numbers

o Updating Contacts and ACCESS database

o Processing exhibitors contracts

o Invoicing exhibitors

o Depositing exhibitor cheques

o Website Updates - listing new exhibitors and website links– This is done in Contribute Software. In-house training will be provided

§ Research and Development of New Fair locations – Assist Show Manager in researching new areas for events

§ Participant Coordination – The Education & Career Fair distributes tickets through a pre-registration program. Tickets are available the first week of September for the December and February Fairs. They are offered on a first come first served basis.

o Coordinate secondary school complimentary ticket distribution program

§ Update database

§ Process ticket requests in ACCESS

§ Confirm requests by fax

§ Monitor requests for even arrival and departure timing of school buses

§ Mailout School ticket and busing information package

o Articles – Writing articles from information obtained from exhibitors with the other Show Coordinator

o Press Releases – Updating Press Release with new dates and current information for the upcoming Fairs.

o Web Marketing – Researching areas the Fairs can gain additional exposure like Face Book, links to other colleges’ websites etc.

o New Promotions – Magazines and newspapers – This is an area that needs to be developed with consultation with the other Show Coordinator.

§ ECF Financial – We use Simply Accounting in our office. It is helpful you have some accounting experience and past experience with an accounting software but not a requirement. We will train in house on Simply Accounting. It is a very user-friendly system.

o Deposits

§ Competition Calendar – Maintain a calendar of events that could affect the Fairs through web research.

§ Networking – Attend meetings and events when required.

§ Onsite Coordinator – Onsite coordination at all 5 Fairs with other staff. Travel to the fairs and overnight at the location on the set up and day of event (depending on Fair).

BC Persons with AIDS Society is gearing up for the 23rd annual Scotiabank AIDS WALK for LIFE happening this September in Stanley Park, Vancouver. We have a current need for Administrative help in our Downtown Vancouver office.

Your contributions will help to make preparations run smoothly for this year’s AIDS Walk which generates funds to support the valuable programs and services available at BCPWA

Duties/tasks

  • Make follow up phone calls to WALK volunteers
  • Maintain and update an Access database
  • Arrange pick-up or delivery of donated items
  • Assist with mail outs
